  • Clearly state the task – Tell AI exactly what you want it to do (write, summarize, outline, edit, translate, etc.).

  • Provide background information – Include your organization’s mission, goals, and the purpose of the request.

  • Identify the audience – Specify who the content is for (grant reviewers, donors, volunteers, board members).

  • Define the format – Ask for the response in a specific format such as bullet points, paragraphs, outlines, or tables.

  • Set the length – Request approximate word count or time length (example: 150 words or a 2-minute presentation).

  • Include key details – Provide numbers, program descriptions, timelines, and other facts AI should include.

  • Specify tone or style – Indicate whether the writing should be formal, persuasive, informative, or conversational.

  • Ask for measurable outcomes – Prompt AI to include goals, statistics, or evaluation methods.

  • Request revisions or improvements – Ask AI to simplify, expand, or strengthen the content.

  • Use follow-up prompts – Refine the response by asking AI to clarify sections or add additional examples.
